This guide cannot be used to re-organise joint shareholders, this guide explains how to amend a record incorrectly set as an individual when it is actually a joint shareholding. 

When a company is imported into Inform Direct, Companies House provide details of each current shareholder.

There are cases where a joint shareholder can be incorrectly identified as either an individual or a corporate shareholder.

To help with resolving these situations, any individual or corporate shareholder which contains a comma, an '&' or the word 'and' will have an option to split the details in to joint holders. 

Please see the example below for Ms Gemima Black, Jean & John White and FRED GREEN LTD

Currently, these are identified as one individual shareholder. Confirmation of this can be seen by clicking the blue arrow which will show the personal details of them as one person.

On the right-hand side of the personal details section is a Convert to joint persons button.

Selecting Convert to joint persons will open a process to split the names in to joint shareholders. 

The conversion details screen which appears will show what it currently believes are the forenames and surname at the top of the page as shown below. 

Beneath this, it provides an estimate (based on the uses of comma, & or and) of how many joint holders there should be. This is a drop-down box so can be adjusted. 

In this example there should be 4 joint shareholders: Gemima Black, Jean White, John White & Fred Green Ltd. 

The joint shareholder fields appear below, populated as much as possible by the data on Inform Direct. 

You will see that the first shareholder, Gemima Black is correctly identified as an individual and the forename and surname fields are completed. 

The second and third joint shareholders are Jean White and John White as shown below.

Inform Direct could not assume Jean's surname would be White, so has left the field blank and open for editing. 

The fourth joint shareholder is FRED GREEN LTD, this initially shows as an individual in the screen shot below:

Selecting the drop-down box to change the type from Individual to Corporate updates this. 

Once all joint shareholders appear correctly, please select Convert to joint at the bottom of the page. 

This will return you to the shareholders page. If any of the joint shareholder's details need editing, it can be done easily via the yellow pencil and selecting Edit personal details next to the relevant record.
